2.2

Groups are limited to 8 trekkers. Everyone on the same date pays the same price per person, whether they book first or last.

2.3

A private room is available on request for an extra cost, subject to availability.

2.4

Bookings for Nepal group departures close 10 days before the start date.

3. Payment Methods

MountainKick accepts the following forms of payment:

5.3 If you have paid only the deposit

If you cancel at any time before you arrive in Kathmandu, you lose the deposit and owe nothing more.

5.4 After the pre-trip meeting

Once the balance has been paid at the pre-trip meeting, or once the trip has started, no refund is given if you cancel or leave the trip early.

5.5 If you have paid the full trip cost in advance

This applies to Bhutan and Tibet trips, and to any trip you choose to pay in full early. The charge depends on how far ahead you cancel:

  • 30 or more days before departure: the 20% deposit is kept and the rest is refunded in full.

5.6 If we cancel

If we cancel a confirmed departure for a reason within our control, we refund everything you have paid, including the deposit, or move you to another date at no cost. Changes caused by events outside our control are covered by sections 14 and 15.

5.7

If you need to make a travel insurance claim because of a cancellation, we provide supporting documents, including payment receipts and a cancellation confirmation letter.

6. Rescheduling and Transfer

6.1

To reschedule your trip, send us a written email with the reason at least 20 days before your original departure date. If you are moving to an earlier date, the 20-day notice applies to the new departure date.

6.2

A fee of USD 200 per person applies for rescheduling, moving to an earlier date, or transferring your booking to another person.

6.3

If you choose to transfer your booking, it is your responsibility to find a replacement traveller.

7. Incomplete Trip

If you are unable to complete a trip for any reason, MountainKick is not liable for refunds on unused meals, accommodation, or other services. If you are required to leave the destination or country due to unlawful conduct during the trip, no refund will be issued.

8. Travel Documents and Visas

8.1

It is your responsibility to ensure your passport is valid for at least 6 months beyond your planned return date and has enough blank pages for visas and entry stamps.

8.2

You are responsible for obtaining all required visas, permits, and travel documents before departure. MountainKick is not liable for any costs or disruptions caused by missing, expired, or incorrect documents.

8.3

For Nepal, tourist visas are available on arrival at Tribhuvan International Airport. Current fees range from USD 30 to USD 125 depending on duration. Trekking permits needed for your route are arranged by MountainKick as part of your trip package.

9. Licensed Guides

9.1

All MountainKick treks are guided. Every trip includes a licensed, English-speaking guide, and we do not run unguided treks.

9.2

Your guide is responsible for the route, pace and safety of the group. You agree to follow your guide's decisions about the route, weather and health, including turning back or descending when needed.

9.3

Some areas, including Manaslu, Tsum Valley, Kanchenjunga, Upper Mustang, Nar Phu and Dolpo, need a special permit. We arrange all permits needed for your trip. You must send us your passport details and any other documents we ask for in good time.

9.4

Permit and guide rules are set by the Government of Nepal and can change. If a rule change affects your trip, we will let you know and adjust the plan where we can.

10. Travel Insurance (Mandatory)

10.1

All clients must carry valid travel insurance for the full duration of the trip. This is a mandatory requirement, not a recommendation.

10.2

Your policy must cover, at minimum:

  • Medical expenses and hospitalisation
  • Emergency helicopter rescue and air ambulance
  • Repatriation and evacuation
  • Trip cancellation and interruption
  • Weather-related delays
  • Personal injury and accidental death
  • Theft or loss of baggage and equipment
  • Natural disaster cover
10.3

MountainKick is not responsible for any costs, expenses, or losses not covered by your travel insurance policy. We strongly recommend buying comprehensive cover before your trip.

10.4

For any insurance claim connected to your trip, including cancellation, delay, evacuation, medical treatment or lost baggage, we will provide the receipts, letters and incident reports we hold. We cannot guarantee that your insurer will accept the claim.

11. Emergencies and Evacuation

11.1

Before the trek starts, you must give us your travel insurance policy number and your insurer's 24-hour emergency phone number.

11.2

If your guide decides you need to be rescued or evacuated, we will help arrange it, including a helicopter if needed, and contact your insurer on your behalf.

11.3

MountainKick does not pay for rescue or evacuation. These costs are paid directly to the rescue provider by your insurer or by you. If your insurer does not confirm payment in time, you agree to pay the provider directly and claim the cost back from your insurer.

11.4

Your guide and our office will keep a record of what happened, and we will send you the reports, receipts and letters you need for your claim.

12. Health and Fitness

12.1

Many of our trips involve physical exertion at high altitude in remote areas with limited medical facilities. You are responsible for assessing your own fitness and health before booking.

12.2

You must tell us about any pre-existing medical conditions, allergies, or physical limitations at the time of booking. MountainKick reserves the right to ask for a medical fitness certificate if the nature of the trip requires it.

12.3

If our guides decide that continuing the trek poses a serious health or safety risk to you or the group, they may require you to stop or descend. In such cases, no refund will be issued for the unused part of the trip.

13. Risks and Liability

13.1

Our trips involve inherent risks including but not limited to personal injury, illness, altitude sickness, death, or property damage. These risks may arise from travel, physical exertion, high-altitude exposure, extreme weather, wildlife, transport, and other factors.

13.2

While MountainKick takes all reasonable measures to keep you safe, we cannot remove these risks entirely. By booking with us, you acknowledge and accept these risks.

13.3

MountainKick, its employees, guides, porters, and agents shall not be held liable for any injury, death, or loss of personal property arising during the trip, except where caused by our proven negligence.

14. Unforeseen Circumstances

14.1

All trips are run in line with the regulations of Nepal, Bhutan, and Tibet. However, MountainKick cannot be held responsible for itinerary changes caused by circumstances beyond our control, including but not limited to:

  • Government policy changes or restrictions
  • Local political situations or strikes (bandh)
  • Bad weather
  • Pandemics or health emergencies
  • Flight delays or cancellations
  • Natural disasters (earthquakes, landslides, floods, avalanches, snowfall)
  • Road closures or infrastructure failures
14.2

Any extra costs from such events, such as extra hotel nights, meals, transport, or extra days on the trail, are paid by the client. We provide receipts and letters to support your travel insurance claim.

14.3

If a natural event such as a landslide, flood, heavy snow or earthquake affects the trek while you are on it, your guide will decide the safest option. This may mean waiting, changing the route, turning back or ending the trek early. We will try to keep as much of your original plan as we safely can.

14.4

No refund is given for parts of the trip missed because of these events. Where we can, we will offer a different route or activity in place of the missed days.

15. Flight Delays and Cancellations

15.1

Domestic flights to remote areas, particularly the Everest and Annapurna regions, are often delayed or cancelled due to weather. This is common and outside our control.

15.2

We recommend carrying extra cash to cover food and accommodation during delays. MountainKick is not responsible for extra costs incurred.

15.3

If a domestic flight is cancelled, we will arrange the next available flight or another way to continue, such as a road transfer. The airline refund, after its cancellation fee, is used to pay for this alternative transport. No other refund is given for the cancelled flight. Any extra costs are covered by section 14.2.

16. Photographs and Marketing

16.1

MountainKick may use photos and videos taken during trips for promotion on our website, social media, and marketing materials.

16.2

If you do not want your image to be used, please tell us in writing before the trip begins.

17. Privacy and Data Protection

17.1

We collect personal information (name, passport details, medical disclosures, payment information) only to arrange and run your trip.

17.2

Your data will not be sold to third parties. We may share necessary details with hotels, airlines, permit authorities, and insurance providers as required to deliver your trip.

17.3

For questions about your data, contact us at info@mountainkick.com.

18. Complaints and Disputes

18.1

If you have a complaint during your trip, please raise it with your guide or our office straight away so we can try to resolve it on the spot.

18.2

Written complaints must be sent within 30 days of the trip end date to info@mountainkick.com.
